1. Data Controller

The data controller is fuelmanager (hereinafter "we", "our"), reachable at support@fuelmng.com.

2. Data Collected

We collect the following data:

• Registration data: username, email address, password (encrypted with bcrypt hash)
• Operational data: refuels (liters, vehicle, tank, date/time), vehicle mileage, operator name
• Technical data: device token, device IP address, hardware configuration
• Payment data: managed entirely by Stripe. We do not store credit card numbers.

3. Purpose of Processing

Data is processed exclusively for:

• Providing the fuelmanager service (fuel monitoring)
• Generating reports and statistics for the user
• Managing subscriptions and billing
• Service communications (technical notifications, email verifications)
• Sending monthly email reports (if enabled by the user)

4. Legal Basis

Processing is based on:

• Contract performance (Art. 6.1.b GDPR) — to provide the service
• Consent (Art. 6.1.a GDPR) — for optional email reports
• Legal obligation (Art. 6.1.c GDPR) — for retention of billing data

5. Data Retention

Operational data (refuels) is retained for the duration of the account. Upon account deletion, all data is removed within 30 days. Billing data is retained for the legally required period (10 years).

6. Data Sharing

Data is never sold or shared with third parties, except:

• Stripe Inc. — payment processing
• Aruba S.p.A. — server hosting and transactional email

All providers are GDPR-compliant and operate within the European Economic Area.

7. Security

We implement technical and organizational security measures including:

• HTTPS (TLS) encryption for all communications
• User passwords stored with bcrypt hash (non-reversible)
• Database access protected by restricted credentials
• Unique, unpredictable device tokens

8. Your Rights

Under GDPR, you have the right to:

• Access your personal data
• Rectify inaccurate data
• Request deletion of data ("right to be forgotten")
• Restrict or object to processing
• Request data portability (CSV/PDF export)
• Withdraw consent at any time

9. Cookies

We use only essential technical cookies required for the service (login session, language preference, operator name). We do not use profiling or third-party advertising cookies.

10. Changes

We reserve the right to update this policy. Significant changes will be communicated through the portal.
